Changes to Data Protection Law.

From the 25th May 2018, the Data Protection laws in the UK are changing and the new General Data Protection Regulation (GDPR) will come into effect.

This Privacy Notice sets out your rights under these new laws and is designed to work in conjunction with our Terms of Use, Cookies and Social Media Acceptable Use policies which form part of our general Terms and Conditions.

Walsall Football Supporters Trust understands that we have a responsibility to protect and respect any personal data or information you have provided us with.

This Privacy Notice explains what personal data we collect, how your data is used, where it is stored, and any reason(s) we may have for disclosing your personal data with others.

Please be aware that this Privacy Notice is subject to change and as such we recommend that you check our website on a regular basis for further updates and amendments.

Who are we?

Walsall Football Supporters Trust is the trading name of Walsall Supporters Society Limited which is registered in England and Wales as a Cooperative and Community Benefit Society (Registration No: IP30010R) and regulated by (with the guidance of Supporters Direct), the Financial Conduct Authority. Our registered address is 159 Woodland Road, Stanton, Burton-on-Trent, Derbyshire, DE15 9TJ.

How the GDPR laws protect you.

The GDPR Data Protection laws state that we can only use your personal data if we have a valid reason to do so and then only with your consent.

The reasons Walsall Football Supporters Trust store and use your personal details include (but are not limited to), communicating with you and providing you with better information and services via our website, by email or by post.

How do we collect your data?

We collect your information whenever you submit a Membership Application Form to the Trust in order to become a paid member. Your personal details are added to a secure electronic database which forms our Members Register in accordance to the Rules of Walsall Football Supporters Trust.

We also collect information from you when you contact the Trust via our websites online forms, by email, by telephone, in writing or by any other such means in order for us to communicate with you in relation to any contact you make with the Trust and to inform you of important Trust related news or changes to our rules.

Any personal data you provide the Trust with in regards to any third party individual(s), warrants that you have done so with the express consent from such third party individual(s) for the use of and disclosure of their personal data.

What data do we collect?

The personal data we collect may include your name, date of birth, email address, postal address, telephone number, mobile telephone number, your location, your IP Address, and how and when you use our website and which pages you visit.

Walsall Football Supporters Trust accept no responsibility for personal data which is collected by, or how such data is used by third party content, including (but not limited to), image files, video files, audio files, text files, comments, feedback, links of any sort (including download links) or any other such content posted to our website by any third party.

The use of Cookies.

Our website uses cookies to collect information whenever you visit and/or contact us via our online contact forms. For more information, please read our Cookie Policy.

What will the data be used for?

If you have submitted your details to us by way of a completed Membership Application Form in order to become a paid member of the Trust, your name, date of birth, email address, postal address and your telephone or mobile telephone number (if provided) will be entered into our Members Register in accordance to the Rules of the Trust. These details will then be used to inform you of important meetings and any up and coming Trust event or fundraiser, and to forward you important information and documents in relation to the Trust including (but not limited to), changes to the rules, meeting notices, meeting agendas, election and ballot documents and membership renewal forms. The information will also be used to periodically forward you email newsletters unless you choose to opt out of this option.

For any individual submitting their personal data to our mailing list subscription only, information will be added to our secure electronic mailing list, including your name and email address, in order for us to periodically forward email newsletters, membership application forms and other information in relation to the Trust we feel may be of interest to you.

Information collected by cookies on our website will be used for the purpose of improving our website, its content, and your overall user experience. Please read our Cookie Policy for further details.

Retention Periods.

If your personal data has been submitted by way of a completed Membership Application Form in order to become a paid member of the Trust, your details will be held for as long as you continue to be a paid member. If you cancel your membership or cease to be a paid member of the Trust for any other reason, your personal data will remain on the Members Register until the following financial year and for no longer than 1 year.

If your personal data was submitted through our mailing list subscription only, your details will be removed from the mailing list database within 28 days from the date you opt out. You can opt out of our mailing list subscription by contacting us at mailing@walsallfctrust.org.uk.

Who has access to your data?

In relation to the Members Register, the Trust Board Membership Secretary will be responsible for the privacy and security of all personal data. Your personal data may be shared amongst other members of the Trust Board in order for them to carry out their duties accordingly in relation to you.

In relation to the Mailing List, the Trusts Website & Social Media Coordinator (independent, non-Trust Board member) will be responsible for the privacy and security of all personal data. Your personal data may be shared with the Trust Board in order for them to carry out their duties accordingly.

In relation to information gathered using cookies on our website, the Trusts Website & Social Media Coordinator (independent, non-Trust Board member) will be responsible for the privacy and security of all data collected for the use of analytical purposes only.

For the avoidance of doubt, the Website & Social Media Coordinator and other volunteer or employee of the Trust is bound by the terms of this Privacy Notice.

Third Party Access.

Under no circumstances will your personal data be passed on to, traded, sold or transferred to any third party other than in the following instances:-

·         If the Trust is acquired by a third party business, group or individual deeming the information we hold as an asset of the Trust, subject to both parties entering into appropriate confidentiality undertakings and agreement.

·         Unless the Trust is required to do so by law.

Your Rights.

You have the right to refuse the use of your personal data and to ask us to delete and data we already have in relation to you. This is known as your ‘right to be forgotten’. Preventing us from collecting or using your data however will prevent us from accepting your membership application to become a paid member of the Trust (if applicable) and will also prevent us from communicating with you electronically, in writing or by telephone.

If you feel we are using your personal data incorrectly, or retaining it without genuine reason or without your consent, please contact us immediately at privacy@walsallfctrust.org.uk.

You have the right to see what information we hold on you and how we use it and also have the right to ask us to amend your personal details or delete them accordingly.

Access to this Privacy Notice and your right to opt out of our mailing list will be clearly posted wherever we ask you to submit personal data.

Accessing and updating your personal data.

You are responsible for ensuring that the information we hold in relation to you is correct and up to date, including your name, email address, postal address, telephone number and/or mobile telephone number.

Links to third party websites.

Our website offers links to third party websites and social media platforms. Walsall Football Supporters Trust has no access to or control over the privacy or security of such websites or platforms and as such accepts no responsibility for damages incurred by visiting them via our website.

It is your responsibility to read the Privacy Notice, Terms and any other related policies when choosing to visit such sites and platforms via our website.

Where we store your personal data.

All personal data held by Walsall Football Supporters Trust is stored electronically and securely within the United Kingdom which forms part of the European Economic Area (EEA).

By providing us with your personal data, you agree to us storing it securely and using it accordingly for the reason(s) stated in this Privacy Notice.

Walsall Football Supporters Trust cannot guarantee the security of any personal data sent via the internet before it is received by us and therefore accept no responsibility for any security or privacy breaches which may occur. Once we have received your personal data, we are legally obliged to protect your personal data and will follow strict security procedures in order to prevent unauthorised access to you data.

Liability.

In the event of a data breach, Walsall Football Supporters Trust shall ensure that our obligations under any applicable data protection law(s) are complied with where necessary.
